Elected Positions:
PRESIDENT: The President shall prepare a list of agenda items for and preside over Board meetings and all general membership meetings. The President shall ensure that all business is conducted in an orderly manner.
VICE-PRESIDENT: The Vice-President shall preside at meetings if the President is absent and introduce the speaker if the Program Coordinator is not available. The Vice-President, with the cooperation of the Executive Board, shall be responsible for locating and reserving appropriate space for the monthly meetings of the general membership, the occasional meetings of the Executive Boards, and the yearly banquet.
BOARD SECRETARY: The Board Secretary shall keep minutes of all Executive Board Meetings and a brief account of the monthly meetings. The brief account will be sent to the Newsletter Editor/Publisher for inclusion in the newsletter.
TREASURER: The Treasurer is responsible for paying the approved costs incurred by members upon submittal of signed receipts and depositing income received by the club. Records of receipts and expenditures shall be kept, and a written accounting of outgo and income shall be prepared for the monthly meetings and Executive Board Meetings.
Volunteer Positions:
COFFEE CHAIRPERSON: The Coffee Chairperson shall bring the coffee pot and refreshment supplies to each meeting. When the supplies need replacing, the Coffee Chairperson shall do so, and submit an accounting and purchase receipts to the Treasurer for reimbursement.
WRITERS’ WORKSHOPS/CONFERENCES COORDINATOR: The Writers’ Coordinator collects and distributes information about writing-related local events. If time allows, the coordinator shall provide information to the Newsletter Editor for inclusion in The Scribe.
CRITIQUE GROUP COORDINATOR: The Critique Group Coordinator shall be responsible for keeping a record of critique groups looking for new participants and individuals looking for a critique group, and shall devise a method enabling these people to connect with each others. This officer shall also be available at the monthly meetings, by telephone, or email to answer questions regarding critique groups.
DIRECTORY CHAIRPERSON: The Directory Chairperson shall compose a directory of paid members, listing name, address, phone number, e-mail address, fax number, and writing genre of each member. The Chairperson shall distribute a copy of the directory to each member.
HISTORIAN: The Historian shall keep a copy of all newsletters in a binder and shall retain any official or historical documents or news clippings pertaining to SSWC or any individual member. The Historian shall take pictures of functions, speakers, and activities and make them available to the Newsletter Editor as requested.
LIBRARIAN: The Librarian shall maintain the SSWC Library and keep track of loaned books, tapes, and compact disks. If a book, tape, or cd is not returned on time, the Librarian shall contact the member regarding its return. The Librarian shall be responsible for transporting a selection of the books, tapes, and compact disks and making them available at SSWC meetings. The Librarian shall be responsible for acquiring new selections for the Library as funds permit, and for giving an accounting and receipts of purchases to the Treasure for reimbursement. The Librarian shall keep an updated list and provide such information to the Website Coordinator.
MEMBERSHIP CHAIRPERSON: The Membership Chairperson shall collect dues from each new or renewing member, issue memberships cards, name tags, record the dues paid, and then either turn the checks or money over to the Treasurer, or deposit the checks or money and notify the Treasurer of the deposit. The Membership Chairperson shall keep a listing of all members and provide the Newsletter Editor/Publisher and the Directory Chairperson with an update of new members each month, and shall notify the President or presiding officer of new members to be recognized and welcomed at each meeting.
NEWSLETTER EDITOR/PUBLISHER: The position(s) of Editor and Publisher may be held by a single individual or by two persons cooperatively to produce the newsletter. The Newsletter Editor and Publisher shall be responsible for the content, layout, and distribution of the Newsletter to reach the membership at least one week before each monthly meeting. The Editor/Publisher shall send an electronic copy for inclusion in the club’s website.
NOMINATIONS COORDINATOR: The Nominations Coordinator shall solicit nominees for the various elected Executive Board positions and volunteer positions, distribute a hand-out at the February meeting listing the job descriptions of all officers, and a form for members to fill out indicating which position(s) they would like to volunteer for or nominate others for. The Coordinator may also provide information and forms to the Newsletter Editor for inclusion in The Scribe. These forms should be collected at the October meeting or returned no later than the November meeting. The slate of officers and chair positions will then be presented to the members at the December meeting where additional nominations shall be sought if necessary. Elections shall be held at the December meeting by paper/secret ballot, which will be collected, counted, and tallied by the Coordinator and another volunteer who is not running for elected office. Installation of officers shall take place at the January meeting.
PUBLICITY CHAIRPERSON: The Publicity Chairperson shall issue news releases to various newspapers, radio and television stations, libraries, and Internet sites each month, providing them with information about the SSWC meeting date, time, location, and the speaker’s name and topic.
RAFFLE / DOOR PRIZE CHAIRPERSON: The Raffle/Door Prize Chairperson shall solicit donations for the raffle and door prizes, sell raffle tickets at each monthly meeting, oversee the drawing for, and distribution of, all raffle and door prizes, and announce the names of any corporate donors.
SPEAKER CHAIRPERSON: The Speaker Chairperson shall meet with the Executive Board prior to September to plan and outline the program for the year. This officer shall contact and schedule speakers and introduce them at the monthly general meetings. If necessary, this officer shall arrange the speaker’s transportation to and from the meeting. This officer shall be responsible for getting this scheduling information to the Publicity Chairperson and to the Newsletter Editor(s) as soon as available and for notifying them of any changes in the schedule.
SUNSHINE CHAIRPERSON: The Sunshine Chairperson shall be informed of life-altering events and send cards when appropriate.
WEBSITE COORDINATOR: The Website Coordinator maintains the club’s website, listing those members who want to have their bio and/or books listed/pictured, library selections, current newsletters and past editions as space allows.
WORKSHOP COORDINATOR: The Workshop Coordinator shall meet with the Executive Board prior to September to plan and outline the program of workshops for the year. This officer shall find members who are willing to conduct a workshop, coordinate a panel discussion, or lead a genre group networking session and inform the Newsletter Editor of the expected workshop leader, subject, and date.
